Instruction Sheet for Using PowerPoint Template

You should have this instruction sheet and a Zip file, which contains the PowerPoint template, graphic images, and logos that you can insert into your presentation. The following instructions will walk you through the steps required to download the Zip file and use it.

Downloading the Zip File

  1. Save the Zip file to your desktop.
  2. Open the Zip file by double clicking the left mouse button. Leave the Zip file open. You will see one ".ppt" file, which is the PowerPoint template and six ".gif" files, which are the four graphic images from the materials (e.g., poster, rack cards, advertising slicks) and two logos (i.e., FASD, DHHS) that you can insert into your presentation. As a general rule of thumb, the circle of the DHHS logo should be no smaller than ¾ of an inch.
  3. Using Windows Explorer, create a folder where you want to save these files.
  4. Change the size of the Windows Explorer window so that both the Windows Explorer window and the Zip file window can be seen at the same time.
  5. Left click once on a file and drag to the folder that you created in Windows Explorer. Follow this step until all the files are in your newly created folder.
  6. This folder is where the template and graphic images are stored. You can move the file to a new location if you wish, but remember the location of your folder.
  7. The Zip file saved to your desktop can be deleted once the content has been saved to your new file.

Using the PowerPoint Template for a Presentation

  1. Open PowerPoint and choose "open an existing presentation".
  2. Choose the directory location where you saved your folder with the template.
  3. Highlight the template file and click "open" or double-click on the template file to open it.
  4. You will notice that "FASD Head" is in the upper right corner of the PowerPoint template. It is a placeholder that you can use for inserting a header that would be on each and every slide.
  5. Go to the "View" menu and scroll down to "Master." Another sub-menu will come up.
  6. Click on "Slide Master." The master slide will show.
  7. Click on "FASD Head." You have now opened up the text box in which "FASD Head" is placed.
    1. If you do not want a header: Delete "FASD Head."
    2. If you do want a header: Type in your desired text. Be sure to type over or delete "FASD Head."
  8. Click on the “Close” button.

Adding Graphic Images to a Presentation

  1. Go to the "Insert" menu and scroll down to "Picture." Another sub-menu will come up.
  2. Click on "From File." The "Insert Picture" window will come up.
  3. Choose the directory location where you saved your folder with the graphic images.
  4. To insert the graphic image into your presentation, double click on the image.
  5. Once the image is inserted, you can use the white boxes to resize the images by clicking and dragging to the desired size.
